1. Who we are

Benchmark ("Benchmark", "we", "us") provides interview training for hiring managers at usebenchmark.app: weekly practice sessions, calendar-triggered interview prep, an Interview Studio that records and analyses interviews, and team analytics. This policy explains what personal data we collect, why, and the choices you have. Questions: hey@usebenchmark.app.

2. Data we collect

  • Account data: name, email address, password (stored hashed) or Google sign-in identifier, profile picture if provided by Google.
  • Waitlist data: work email, company name, role and team size you submit on our home page.
  • Training data: your answers, scores, XP, levels, streaks, badges and leaderboard position.
  • Group data: group name, members you invite (email addresses), roles, and documents a group owner uploads to tailor training (PDF/TXT/MD).
  • Google Calendar data (only if you connect it): see section 3.
  • Interview Studio data (only if you use it): audio recordings, transcripts, interview title and role, and the AI-generated debrief and practice questions.
  • Usage data: pages visited, device and browser type, approximate location from IP address, and error logs, used to keep the service working and improve it.

3. Google user data

If you choose to connect Google Calendar, Benchmark requests read-only access to your calendar events. We read event titles, descriptions, start and end times and cancellation status for upcoming events, solely to detect interviews you are scheduled to run and send you a short preparation exercise beforehand.

  • We never create, edit or delete calendar events.
  • We only store details of events identified as interviews; other events are discarded.
  • Calendar data is used only to provide this feature to you. It is not sold, not used for advertising, and not shared with other users — group admins see only whether your calendar is connected, never its contents.
  • We do not use Google user data to train generalised AI or machine-learning models.
  • You can disconnect at any time from your Hub, or revoke access at myaccount.google.com/permissions. Disconnecting removes our access token.

Benchmark's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

4. Interview recordings

Interview Studio only records when you press start, and you must confirm that the candidate has consented before recording. Recordings are stored privately and are accessible only to the user who made them. Audio is transcribed and analysed by AI to produce your personal debrief. You are responsible for obtaining any consent required by local law from the people you record. You can delete a recording and its transcript at any time.

5. How we use data

  • To provide the service: run training, track progress, show leaderboards and group analytics.
  • To send service emails: sign-in links, invitations, weekly session unlocks and interview prep.
  • To generate AI content: tailored questions, transcripts and debriefs.
  • To respond to waitlist requests and contact you about early access.
  • To secure, maintain and improve Benchmark.

Legal bases (GDPR): performance of our contract with you, our legitimate interest in operating and improving the service, and your consent where we ask for it (for example, connecting a calendar or joining the waitlist).

6. Who can see your data

  • Group owners and co-admins see the training progress and scores of members in their group.
  • Public leaderboard and share pages show your display name, level and XP. Share pages are only created if you choose to share an achievement.
  • Service providers who process data on our behalf: cloud hosting and database, email delivery, AI model providers (for transcription and analysis), and product analytics. They may only use the data to provide services to us.

We do not sell personal data.

7. Storage, retention and security

Data is encrypted in transit (HTTPS) and access is restricted per user and per group. Calendar access tokens are stored encrypted. We keep account data while your account is active and delete it within 30 days after you ask us to close your account, except where we must keep it by law. Waitlist data is kept until you ask us to remove it or we no longer need it to contact you about access.

Some providers may process data outside the EU/EEA; where they do, we rely on appropriate safeguards such as Standard Contractual Clauses.

8. Your rights

You can request access to, correction, deletion or export of your personal data, object to or restrict processing, and withdraw consent at any time. Email hey@usebenchmark.app and we'll respond within 30 days. You may also complain to your local data protection authority (in Sweden, IMY).

9. Cookies

We use essential browser storage to keep you signed in, and analytics to understand how the product is used. We do not use advertising cookies.

10. Children

Benchmark is a workplace tool and is not intended for anyone under 16.

11. Changes

We may update this policy as Benchmark evolves. We'll change the date above and notify account holders of material changes by email or in the app.
